PDF/Documentation is a common file format that, unlike other formats like Microsoft Word, is not seen struggling with formatting like inconsistently aligned headings or tables. The challenges in exporting these files can be complicated. However, the process of exporting a document to PDF with the use of Google Docs can, in fact, be done at ease!
Check if your document is PDF-compatible
If your document is not PDF-compatible, you might be able to change the format. You can do this by going to Tools > Export and choosing PDF from the drop down menu. If that doesn’t work, you’ll need to use a different software to convert your file into a PDF compatible format using Google Drive. For example, Adobe Acrobat offers several features and allows you to view the finished product on any device with an internet connection. Or you can get Familiar, a program that allows you to view the built-in PDF viewer on your computer or tablet. You can also securely email your docs directly to anyone using these third-party services: Shutterstock and Adobe Central.
Create a new login to export the file
Users that have been given links to the Google Doc can access it by signing in with their Google account. This enables them to work on the document collaboratively or to make changes themselves. If they want to export it, however, they will need a new login name and password before exporting it to PDF. They can also choose whether they want this file saved on their device or emailed as well.

Download the new PDF with authentication
When working on a document with a colleague, you may want to share it with another person. Printing out the Google Doc is one way to do this, but if you want to store a copy in your Google Drive as well, then use this method of exporting a PDF from Google Drive. To create a print-ready PDF from any Google Doc in your account, scroll down until you see the Print section. Click on “Always Print.” The PDF will automatically be saved to your Drive and converted in real time. Another option offered by Google is to import it into an ink-ready file. If you need to send the document promptly, then you will want to do this in order to print right away, rather than email it later. On this menu, choose “Save As PDF” and then save it onto your device or computer.

One of the most common ways to export a document from Google Drive is by simply clicking the “share” button in order to send the file as an attachment in Gmail. When you click share, it auto-magically decides what other platform that file can be opened in, like email, Blackboard, and several other digital platforms. The problem with this is that sometimes people are not aware they actually have the option to save the file outside of Google Drive and need another window to save it as a pdf on their own computer before opening it later. This is where Copy+paste comes into play! Simply open up Microsoft word, or any word processor which you use often, start typing your text and then right-click “copy” or “cut”. Navigate your way over to your Google Docs page with your cursor still visible on top left. Press Ctrl+V or Ctr+A on Windows and command+V or control+A on Macs. The shortcut will paste your format! If you have simple formatting you usually don’t need, then things like bolding follow: Cmd+B, Ctrl+U for italics (on Windows) and Aqua Style “Upper” followed by ending in -Q.
